Our client, a leading global real estate services firm, seeks a motivated Administrative Officer to support our dynamic sales team. The role is primarily administrative — handling paperwork, maintaining accurate records, coordinating activities, and providing essential support to ensure smooth sales operations.
The position will be organized, service-minded, and open to growing towards data management and analysis responsibilities in the future.

Key Responsibilities:
- Provide full administrative support to the sales team.
- Prepare, organize, and file contracts, proposals, presentations, and other sales documents.
- Maintain and update customer databases, property listings, and sales tracking reports.
- Coordinate internal and external meetings, client appointments, and site visits.
- Communicate with clients for basic follow-up, appointment confirmation, and document collection.
- Conduct light cold calling to qualify prospects and support lead generation activities (scripts and guidance provided).
- Prepare sales kits and marketing materials as needed for client meetings.
- Monitor document workflows to ensure all paperwork is complete and accurate.
- Liaise between sales team members, marketing, and other departments to streamline processes.
- Assist in compiling and summarizing basic sales data and performance reports.
- Support ad-hoc administrative tasks and special projects assigned by the Sales Manager.
- Bachelor’s degree in Business Administration, Real Estate, Marketing, or related field.
- 1–2 years' experience in administrative support, sales coordination, or a similar role preferred (fresh graduates are welcome if highly motivated).
- Good command of English (both spoken and written).
- Proficient in Microsoft Office (especially Excel, Word, and PowerPoint).
- Strong attention to detail, with excellent organizational and time-management skills.
- Good interpersonal skills and the ability to work collaboratively with a sales team.
- Service-minded, proactive, and able to prioritize multiple tasks.
- Comfortable making basic outbound calls with provided scripts.
- Willingness to learn and develop skills in data handling and analysis over time.
